Overview

🆕  Introduction

One of the sections for creating an event, ‘Registration and questions’, offers the following enhanced functions:

  1. When the event is open to companions, the main participant must register each accompanying person by name.
  2. Any questions on the registration form may also be asked of companions.
  3. It is possible to create questions containing a unit price; the total amount to be paid by the principal participant is calculated automatically.
  4. A direct online payment option, validating the registration, is available on an annual subscription basis.

To make it easier to create an event according to its characteristics and needs, four options are available for pricing and payment management:

Generation of dependent events 

The deployment of Polaris version R1.04 (August 2024), with its improved event registration functionality, offers four options for managing prices and payments, to make it easier to create an event according to its characteristics and needs. 

This diversity of event types has led to the removal of the “Dependent Events” functionality.

This option is a variant of option 3 making it possible to specify a unit price for each type of question; its special feature is that it allows immediate online payment of the total amount due by the principal participant.

This new feature is optional and is activated when the organization (club, district, foundation, fellowship, ...) takes out an annual subscription. You will find here an overview of the online payment option in Polaris.

Registration

The creation of such an event is identical to that of the current basic event in Polaris, except for the“Registration/Questions” section which includes one or more questions with unit price.

RkfrAAAAAElFTkSuQmCCIf the authorization to register companion(s) is activated, the main participant must nominally register any person accompanying him/her, including answering any questions.

Mention of accompanying persons only in the "Comment" section will not be taken into account in calculating the total amount to be paid.

This enhancement makes it possible to fully manage the choices made by event participants.

Online payment

AeM7dD0f8vzEAAAAAElFTkSuQmCCWhen registering, a box displays the following details: name of the main participant, names of any companions and specific cost per person, as well as the total amount due on site.

The REGISTER AND PAY button redirects the participant to the Payrexx site, the online payment platform integrated with Polaris.

Questions

The Questions section offers, as is currently the case, several types of question, linked or not to the basic "Do you participate?". Each of these questions can now be viewed either by the main participant or by any companion, making it possible to provide differentiated answers.

In this option, a unit price can be defined for each answer to a question.

Registration handling

  • Once online payment has been confirmed, registration is firm and definitive; the main participant can no longer modify his or her registration details.
  • For this type of event, the organizer cannot register or delete participants, nor manage their data, as immediate online payment is required to validate registration.
    The organizer can only add a note to the registration of a participant and his/her companions, indicating any requests for modifications received and their consideration.

  • Payrexx includes refund processes that the club can manage on a case-by-case basis.

Capture of attendance

  • Polaris makes it quick and easy to capture attendance at your event, using a simple smartphone (use the landscape display to see all the headings required for attendance entry).
  • Attendance capture is useful for the organizer to control the number of meals invoiced; it also makes it possible for the club to automatically monitor attendance at meetings.

Event closure

  • When the attendance capture has been completed, the event must be closed in the "Participants" section to finalize the allocation of attendance to both club members and Rotarians visitors from other clubs.
